Admitting Department Clerk

POSITION SUMMARY: Acts as receptionist to outpatients and physicians coming into the department. Relieves the radiologic technologists of such clerical duties as typing forms, filing, logging daily patient encounters, mailing of reports, and disposition of films when required by physicians or insurance companies. Greets outpatients, sets up their appointments and gives patients the proper outpatient examination “prep forms.”

MAJOR DUTIES AND RESPONSIBILITIES:

  • Responsible for accepting reservations for hospital services.
  • Responsible for accepting reservations from a physician’s office and pre-admitting these patients.
  • Responsible for preregistering patients for scheduled admissions and outpatient procedures, obtaining authorization and verifying insurance eligibility.
  • Responsible for interviewing patients or their representative, where admission is unscheduled, for obtaining personal information or verifying information already on file, including emergency numbers and insurance information.
  • Responsible for obtaining signatures on Conditions of Admission and initiating the advance directive process.  Communicates with Nursing Services when no advance directive is available.
  • Provides information to the patient/representative about billing, complaint process, patient rights, HIPAA and visiting hours.  Distributes hospital specific literature.
  • Communicates appropriately and clearly to supervisor, nurse managers, co-workers and physicians.
  • Responsible for knowing hospital policies and being familiar with hospital services that are available.
  • Refers patient to the Business Office when financial arrangements need to be made.
  • Ensures that documentation meets current standards and policies.
  • Answers the telephone in a polite manner and communicates information to the appropriate staff/family member.
  • Manages and operates equipment safely and correctly.
  • Checks and stocks supplies as needed.
  • Maintains filing system in the department.
  • Maintain record keeping and filing system of reports, films and requisitions according to departmental policies. Classifies, sorts and files correspondence, records, and other documents accordingly. Purges files in accordance with policy.
  • Performs other duties as assigned by management.

PROFESSIONAL REQUIREMENTS:

  • Completes annual education requirements.
  • Maintains patient confidentiality at all times.
  • Reports to work on time and as scheduled, completes work within designated time.
  • Wears identification while on duty, uses computerized punch time system correctly.
  • Attends annual review and department inservices, as scheduled.
  • Represents the organization in a positive and professional manner.
  • Actively participates in performance improvement and continuous quality improvement (CQI) activities.
  • Complies with all organizational policies regarding ethical business practices.
  • Communicates the mission, ethics and goals of the facility, as well as the focus statement of the department.

REGULATORY REQUIREMENTS:

  • Current BCLS certificate.
  • Must have a high school diploma or equivalent.
  • Must have typing, computer and related skills.
  • Must have the ability to carry on many functions in an organized manner at the same time, e.g., answer phones, schedule exams, give verbal reports, and create necessary paperwork.
  • Prior experience preferred but not required.
