  • Billing Specialist

    Supervisor/Accountability:  Reports to Billing Manager; Collaborates across the agency

    Position Summary

    The Billing Specialist is responsible for serving as an integral part of a clinical team with the core responsibilities of collecting, posting, and managing account charges and payments. The Billing Specialist is also responsible for the submission of medical claims and must be well-versed in insurance matters. The Billing Specialist is responsible for performing clerical procedures related to verifying insurance information and benefits verification and obtaining authorization for behavioral health and SUD/OUD services in accordance with established rules procedures, specified time frames, and regulatory requirements. The Specialist processes clinical information in a timely manner to prevent treatment delays and to avoid denials from third-party payers and maintain confidentiality of patient information.

    Duties and Responsibilities

    • Processes benefit verification and authorization for all new referrals with speed and accuracy.
    • Process PA renewal requests by matching existing patient data with system data for clinical review
    • Enter authorization into EMR
    • Confirm eligibility of clients with the insurance company
    • Manage correspondence with insurance companies and consumers as required
    • Review accuracy and completion of authorizations to ensure all supporting documents are present.
    • Collaborate with other departments to assist in obtaining pre-authorizations accordingly.
    • Review denials and submit appeals to get them approved by insurance companies
    • Implement prior authorization workflow, policies, and procedures.
    • Gathering, coding, and transmitting patient care information.
    • Collects, posts, and manages account changes and payments.
    • Ensures adherence to HIPAA guidelines and clinic procedures.
    • Participates in continuing education in the field.
    • Prepares and submits clean claims to various insurance entities in compliance with Medicare, Medicaid and Third party payer guidelines by electronic or paper submission.
    • Update patient’s records in facility systems as needed
    • Processes payments from insurance companies in a timely manner.
    • Identifies and resolves patient billing issues.
    • Assists patients with understanding their billing process.
    • Prepares patient statements.
    • Informs the Clinical Director or Medical Director of any issues pertinent to billing.
    • Participates in staff meetings, training sessions, and other meetings as directed.

Assist the Provider and the clinical staff in performing their duties and carrying on the necessary functions required in accordance with established policies and procedures.

    Essential Functions:

    • Prepare the patient for examination.
    • Note brief history or the reason for the visit in the patient’s chart.
    • Take and record height, weight, and blood pressure, pulse rate, respiration, temperature.
    • Assist the clinical staff in completing examinations and procedures as instructed.
    • Completely fill out lab slips and other forms, when necessary.
    • Administer medications and injections as ordered.
    • Follow universal precautions to protect self and patients.
    • Assist the medical staff in patient education.
    • Stock exam rooms with supplies.
    • Environmental and infection control cleaning duties for all patient care areas according to state and federal guidelines.
    • Complete MA/LPN Performance Criteria training sheet.
    • Perform CLIA Waived Testing
    • Under the direction of the nurse or provider in charge, takes responsibility for medical supplies and cleaning of the medical instruments and equipment.

Assist the R.N., L.P.N., and the clinical staff in performing their duties and carrying on the necessary functions required in accordance with established policies and procedures.

    Essential Functions:

    • Prepare patient for examination.
    • Note brief history or the reason for visit in the patient’s chart.
    • Take and record height, weight, blood pressure, pulse rate, respiration, and temperature.
    • Assist the clinical staff in completing examinations and procedures as instructed.
    • Take the health history of pre-natal and family planning patients.
    • Completely fill out lab slips and other forms, when necessary.
    • Administer medications and injections as ordered.
    • Follow universal precautions to protect self and patients.
    • Assist the medical staff in patient education and family planning counseling.
    • Stock exam rooms with supplies.
    • Environmental and infection control cleaning duties for all patient care areas according to state and federal guidelines.
    • Complete MA Performance Criteria training sheet.
    • Perform CLIA Waived Testing
    • Interpret for the clinical staff when necessary, “Spanish/English”.
    • Under the direction of the nurse or provider in charge, takes responsibility for medical supplies and cleaning of the medical instruments and equipment.
    • Provide HIV/Antibody counseling in accordance with established protocols and in compliance with State and Federal requirements.
    • Obtain laboratory samples and complete paperwork as ordered by the provider.
    • Any other duties or responsibilities the clinical staff may assign from time to time and when the need arises.

    Desired Qualifications:

    • Must have successfully completed and graduated from a medical assistant program.

  • Medical Receptionist

    Position Summary

    The Medical Receptionist is responsible for greeting and registering patients in a professional and timely manner. The receptionist is responsible for responsible and efficient use of electronic medical records in the clinic setting. The receptionist ensures that accurate demographic and insurance information is collected, creates patient charts/accounts, and collects and applies patient payments, all in accordance with accepted clinic procedures.

    Duties and Responsibilities

    • Communicates with patients in a welcoming, courteous, and professional manner
    • Schedules patients in accordance with established provider schedules and clinic protocols
    • Records no‐shows and cancellations in the system and inpatient records, and routes patient messages to appropriate clinical staff
    • Obtains and/or verifies that current demographic information is accurate and up to date within the system
    • Obtains and/or verifies insurance status and updates information in the system as needed
    • Verifies insurance eligibility in accordance with established clinic procedures
    • Routes phone calls to the appropriate party or takes complete, accurate messages
    • Maintains strict patient confidentiality. Complies with OSHA regulations as well as all clinic safety standards
    • Advises patients of clinic policies regarding scheduling, payments, no‐shows, etc. and answers questions as appropriate, advises patients to bring in necessary financial and/or insurance documentation as indicated
    • Checks patients in and out, collects patient payments. Creates accounts for new patients
    • Assists with filing, copying, faxing, and other clerical duties when time is available and at the direction of the supervisor
    • Assists in maintaining the waiting room in a clean and orderly manner
    • Participates in staff meetings, training sessions, and other meetings as directed
    • Prints and copies Medical Records as requested by patients, insurance agencies, attorneys, etc.

    Minimum Qualifications
